Project Coordinator, Creative - In-Office Required
This is a full-time position based out of our Irvine office.
Pay range: $29.00-$33.00 an hour
The Project Coordinator is responsible for supporting the Creative and Marketing teams by coordinating workflows, maintaining project organization, streamlining operations, and ensuring projects are delivered on time and up to Oakmont standards. All responsibilities must be completed in accordance with Company policies and procedures, current standards, guidelines, and regulations.
Position Responsibilities:
- Traffic and manage incoming creative and marketing requests, ensuring all required information is captured at intake
- Assign projects, track progress, and maintain timelines using project management tools (e.g., Monday.com)
- Communicate timelines, deliverables, and expectations clearly to stakeholders
- Request estimates, track approvals, and support vendor communication as needed
- Track and manage all design requests to ensure milestones are met, blockers are addressed, and projects are delivered as expected
- Provide day-to-day coordination and support for digital, sales, and creative marketing initiatives as needed
- Maintain accurate project statuses, documentation, and files
- Assist with reporting on workload, capacity, and project trends
Qualifications:
- Prefer one (1) to three (3) years of work experience in project coordination.
- Highly organized with excellent time-management and prioritization skills.
- Collaborative, detail-oriented, and comfortable enforcing established processes.
- Experience preferred using the project management software Monday.com.
- Excellent written, verbal, and interpersonal communication skills.
- Experience in a creative, marketing, or agency environment.
- Familiarity with print production and vendor coordination.
- Understanding of creative workflows, timelines, and approval processes.
- Confident following up and holding stakeholders accountable.
- Must pass a Criminal Background check.
- May require team members to vaccinate, participate in daily screening, surveillance testing, and to wear face coverings and other personal protective equipment (PPE) to prevent the spread of the COVID-19 or other communicable diseases, per regulatory guidelines.
